Files
In Modern Campus CMS, files are either image or document files that are uploaded to use on the site. Please follow the naming conventions and best practices when using files.
How To
- Log into Modern Campus CMS.
- Navigate to the /_images folder where the photo or image should reside.
- Click the gray "Upload" button in the upper right corner.
- Click the blue "+Add" button.
- Select the file(s) on your computer that you want to upload.
- Once the files appear, click the blue “Start Upload” button.
- After the upload has completed, click the image file just uploaded. It will have a gray banner next to it saying "Unpublished".
- Click the blue "Submit" button to submit the file for publishing.
- After the file upload is approved and published, the photo or image is now avaliable to be inserted onto a page.
- Log into Modern Campus CMS.
- Navigate to the page you want to add the image to.
- Click the green edit button for the reigon you want to edit.
- Click and place your curson where you want the image to be placed.
- Click the "Insert/Edit Image" icon in the toolbar.
- Click the browse icon on the right, this will bring you to an image folder.
- Select the image you want to insert.
- Click the blue "Insert" button.
- Now in the source field, you will see a dependency tag. Ex:{{f:12360601 }}
- Fill in the Alternative Description.
- Every image must have an alternative description (alt text). The alt text should briefly describe the image and relay any text within the image.
- Click the blue "Save" button.
Best Practices
Document files
Please make all documents upladed as accessible as possible. Adobe Acrobat has an
accessibility tool which can help with creating accessible PDFs. And most Microsoft
products have an accessibility checker that can be used to identify accessibility
concerns in documents.
Image files
Avoid using images with text in them. Text in an image makes it inaccessible to screenreaders.
If there is a small amount of text in an image (like a logo) make sure that text is
represented in the alt text field of the image. Images with lots of text (like a flyer)
should not be used on the website.
File names may only include:
- Lowercase letters
- Numbers
- Dashes
- Underscores
Characters that are not allowed:
- Uppercase letters
- Spaces
- Special characters such as ,./;'!@#$%^&*
File names are also limited to 25 characters or less.
If a file name does not comply with this standard, an error message will appear and prompt you to re-name it.
Please note:
- This change will not affect any files that already exist. Only new files or any existing files that you rename will be affected.
- The file name standard does apply to file extensions. An image file named “graduation.JPG” will flag as not in compliance. So check your file extensions!
When uploading files, make sure to name the files so it's easy to identify a particular image or document later. The default file names that phones and cameras assign photos isn't going to be helpful. Naming the file to include the name of the subject or event and maybe a date will go a long way to helping you know what photos you have uploaded to use on your web pages. Examples:
- students-river-4-23.jpg instead of DSC002673.jpg
- gus-parade-highfive.jpg instead of Gus at Parade highfive.JPG
All CMS files must be no larger than ____. If you upload a larger file, you will get an error message.
Please make sure to do all image editing (resizing, cropping, etc.) before you upload the image into the CMS.
